Your new company
Global consulting firm is seeking an experienced Personal Assistant in the Tax and Legal division provide comprehensive organisational and administrative support to multiple Partners and as a contact point for their teams. The role includes building and maintaining effective and professional internal and external client relationships to ensure seamless and efficient service is provided to support the needs of the business.

Your new role
Duties will include;

  • Diary management for multiple Partners – including scheduling meetings, accepting/declining meeting requests as appropriate and managing diary conflicts, often across multiple time-zones
  • Managing Partner emails to filter messages and action when required
  • Managing a high volume of internal / external meetings, lunches, dinners and other events and functions – including booking meeting rooms/venues, distributing relevant documentation to attendees and preparing/coordinating relevant material as required
  • Organising all relevant travel and accommodation arrangements – both domestic and international
  • Submit expense claims for Partners according to policy and deadlines
  • Financial reporting, creation and formatting of documents, proposals and presentations
  • General administration duties including photocopying, arranging couriers, printing, setting up physical meeting spaces and video calls
  • Completion of Partner timesheets
  • Assist with organising team and Partner events
  • Assistance with Partner approvals on a wide variety of platforms
  • Management of distribution lists
  • Working as a team with other Assistants and delegating appropriate work to the shared Team Assistants
  • Ad-hoc project work as required

What you'll need to succeed

  • Demonstrable experience in an Assistant role in a large organisation requiring tact, judgement and discretion in handling internal and external clients
  • Experience of successfully working with two or more Partners (or equivalent) concurrently
  • Experience of diary and email management, booking of travel and organising successful meetings
  • Experience of communicating in rapidly changing environment using modern collaboration tools, including Skype, Zoom, Microsoft Teams, etc.
  • Excel, PowerPoint, Word and Outlook skills
  • Excellent organisational skills, ability to multi-task and organise others
  • Excellent oral and written communication skills and the ability to professionally represent
  • Ability to apply a high level of credibility and discretion
  • Well-developed prioritisation and time management skills whilst working under pressure
  • Effective ability to filter information and assess priorities
  • Ability to be able to forward plan and come up with solutions
  • Ability to think outside of the square to come up with innovative solutions to conflicts or competing priorities
